Information we collect
When you make an enquiry, we may receive your name, company, email address, telephone number, project information and any supporting FRAs, surveys, schedules, photographs or other files you choose to provide. If you consent to analytics, we also receive aggregated website-use information such as pages visited, approximate location, device and browser information, referral source and successful enquiry events.
Why we use it
We use enquiry information to respond to your request, assess potential work, prepare quotations and maintain appropriate business records. Our legal basis will generally be taking steps at your request before entering a contract or our legitimate interest in managing business enquiries. Optional Google Analytics processing is based on your consent, which you can withdraw through the cookie notice.
Website enquiry processing
Website enquiries are transmitted to FireX using FormSubmit, a third-party form-processing service. The information and optional attachments you submit are processed for the purpose of delivering your enquiry to our business email address. FormSubmit publishes its privacy terms and submission and upload documentation. Contact details and enough project information to assess the enquiry are needed for us to respond; supporting files are optional. Sending an enquiry does not subscribe you to marketing. Please remove unnecessary personal, special-category or highly sensitive information from messages, documents and photographs before submitting them.
Project assistant
The Project Assistant is a menu-based navigation tool running in your browser. It does not accept free-text messages, create a conversation transcript, send choices to an external AI service or store your menu choices after the page is closed. If you use it to open the enquiry form, the form processing described above applies.
International processing
Our hosting, form-delivery and analytics providers operate online services that may process information outside the UK. FormSubmit’s published terms do not identify the countries used for each submission or specify UK transfer safeguards. We therefore cannot describe an enquiry through that service as UK-only processing. Please contact info@firex.uk before sharing information that requires an agreed storage location or additional transfer safeguards. You can ask us for the available provider and transfer information.
Website analytics
When you accept optional analytics, Google Analytics 4 processes information about use of the website on FireX’s behalf. We use this to understand website performance and improve our information and services. Analytics is not loaded if you reject optional cookies. Sharing and retention
We do not sell personal information. We may share it with trusted service providers, including our website hosting, form-processing and analytics providers, where necessary to operate and improve the website and business.
How retention is determined
For an enquiry that does not lead to work, the retention decision depends on whether the quotation remains open, whether follow-up is still expected and whether the record is needed for a complaint or dispute. If work proceeds, relevant messages and supporting evidence become part of the project record. Their retention depends on the contract, the building-safety information needed by the client, applicable legal duties and insurance or claim requirements. Unrelated personal details and duplicate files are not needed simply because the underlying project record is retained.
FormSubmit states that submission text is available in its archive for 30 days and that uploaded files are not retained in that archive. Copies delivered to FireX’s email are subject to the enquiry or project criteria above. Analytics-cookie duration is described in our cookie notice; it is separate from retention of an enquiry. Contact info@firex.uk to ask which criteria apply to a particular record or to request deletion.
Your rights
Depending on the circumstances, you may ask to access, correct, restrict or erase your personal information, or object to its use. Where processing is based on consent, you can withdraw that consent. Contact info@firex.uk. You have the right to object to processing based on legitimate interests. Where applicable, you may also request data portability. You may complain to the UK Information Commissioner’s Office.
Updates
We may update this notice when our website systems, legal requirements or business processes change.
