Getting a fire door quotation: what information should you send?

Good enquiry information helps a contractor separate a defined repair from a provisional allowance or a task requiring inspection. Send the full report where available, explain the building and access arrangements, and state the documents your managing agent expects at completion.

01

Send the full inspection report

Include the complete PDF rather than only a cropped defect photograph or one page of the schedule. The door reference, inspection scope, measurements and limitations can change how the finding is interpreted. Where the report does not show the condition of the rest of the assembly, a desktop quotation may be based only on the listed defects and may not capture all necessary work. Tell us whether you need every item addressed or a separately defined scope.

  • Full report with photographs and door references
  • Relevant FRA actions or managing-agent instructions
  • Clarify the work you are asking us to price
02

Add clear photographs where information is missing

Useful views include both faces of the door, the frame, hinges, seals, closer, threshold and any labels or identification plugs. Include a wider view showing the location as well as the reported defect. Photographs support review but cannot reliably establish concealed construction or complete fire performance. Do not remove components or disturb the door to obtain them; arrange competent inspection if measurements or investigation are needed.

  • Match each photograph to a door reference
  • Include the complete door and the specific defect
  • Share existing identification without disturbing the assembly
03

Explain quantities, location and access

Give the postcode, building use, number of doors and whether they are flat entrance, communal or other doors. Note resident appointments, working-hour restrictions, parking, access permits and any need to coordinate with another contractor. For a programme, identify which doors can be accessed together and which require individual appointments. These details help define attendance and supervision rather than leaving them as assumptions.

  • Postcode, building use and approximate quantities
  • Occupied areas and appointment arrangements
  • Working hours, parking and any access restrictions
04

Understand a desktop quotation and an on-site survey

A desktop quotation uses the information supplied. It may include stated assumptions and provisional sums where the extent of repairs is uncertain. An on-site survey can check the complete assembly, review evidence and resolve scope questions before a more accurate quotation is prepared; it does not remove every risk of concealed defects. FireX recommends its on-site survey service where the existing report is insufficient. Any survey charge and quotation terms are confirmed before booking.

  • Ask which items are fixed and which are provisional
  • Check survey fees and the agreed inspection scope
  • Agree how newly identified defects will be authorised
05

State your completion requirements

Tell us if the client requires scheme documentation, asset-level photographs, a completion worksheet, a reporting platform or a particular handover format. Certification depends on the existing evidence and work scope, so clarify it before accepting a quote. Compare the total price, VAT treatment, exclusions, making good and access allowances - not just the component prices. Availability is confirmed once scope, materials and access are understood.

  • Client or managing-agent documentation requirements
  • VAT, exclusions and making-good responsibilities
  • Requested programme and access dates
06

Share reports and photographs securely

Use the enquiry form for reports and photographs within its displayed 10 MB total limit. For larger packs, email info@firex.uk to agree a suitable way to share them and include the property reference. Provide the complete report, including relevant schedules and photographs, rather than a few isolated screenshots. Remove unrelated resident details and send only the information needed to assess the work.

  • Provide the complete report and relevant photographs
  • Keep the website upload total within 10 MB
  • Use the property reference in follow-up emails
